Event scheduling software

What solutions are being deployed out there to track room usage/
availability, etc? We're seeking the ability to manage our event scheduling
in a 'smarter' way. We want to be able to look in a single place to know
what events are scheduled in which rooms, when, and with which resources
(projector, tables, etc).

We're considering a software package from Event Management Systems. EMS
Lite requires a host SQL server. The demo looked promising but I'm doing
due diligence. Do any of you have experience with this company/package?
What other solutions have you tried? We're currently using a spreadsheet
and it really isn't solving our problems.

Just brainstorming features we'd like to see:
* Give a complete picture of a day - which events are occuring in which
rooms, and which resources are requested
* notify specific departments (or responsible individuals) in advance when
certain resources are required (eg tech dept for projector)
* Show which rooms are available for an upcoming event, filtered by capacity
and features
* Include student information at least including courses and schedule
* Associate those classes with a specific teacher and a specific day/time
and room
* Show exactly where the student is supposed to be at any given moment, on
any given day, including special events and field trips
* Show exactly where each teacher is supposed to be at any given moment
* (For those facilities which rent out their space) track charges, contracts
and billing info and plug that billing/payment info into accounting software


Our SID (PCR Educator) can hold a list of available spaces/rooms, and can be
used to build a schedule of which classes are being held in each room. In
an ideal world, PCR would also be able to track one-time or recurring
non-academic events and resource requirements.

Any help/guidance is appreciated.
