Steve,

Our school made an arrangement with the local children's hospital,
solving all of this for us. At the start of each year, we give the
hospital hard copies of each student's insurance information, permission
to treat form, and basic medical information. The hospital stores this
information for us and gives us a number that we (faculty, coaches,
chaperones, etc.) can call from anywhere. When we need the medical forms
to treat an injury, our hospital FAXs the information to us at whatever
hospital we happen to be sitting in at the time, or the information is
also obviously available at this local hospital when we take our
students there for medical care. I don't know if there's a charge to the
school or not, but I can put you in touch with our head nurse if you are
interested in more information about how she set this up.=20

While the poster has done this for his personal records the message
seems to be that the electronic copies are a great backstop while
awaiting documents from official sources. And while it is unlikely your
school is bound by HIPAA rules the security recommendations are
excellent.

In my personal experience paper and electronic are interchangeable for
everything except prescriptions. Unless it is notarized, paper copies
cary no additional weight, but your milage may vary.... significantly.

A perennial question at our school has to do with keeping current
student
health and emergency records available to adults who accompany students
on
field trips and oversees trips. We invariably end up printing out mounds
of
paper that go in binders with the trip chaperons. I am always a bit
uneasy
as to whether or not the data is up-to-date and if it will be available
when
it's needed.

We have considered using electronic records stored on a USB drive,
handheld
device, or computer but are leery of ER's and other emergency providers
accepting this information in the even that a student requires emergency
treatment.

Does anyone have a solution that is working well for them other than
paper?
