My general rule is delete 30 days after they leave the school. Since we
moved to Google Apps, a few folks asked for longer, and what I setup was to
use e-mail forwarding to forward any mail sent to their e-mail address to a
personal address that they provided. It doesn't cost us anything and it
keeps them in contact with folks they might have missed in their move to new
e-mail. Although I'm not sure what the e-mail retention rules are on
accounts you are simply forwarding. I should look into that.
Since we're a small school, this year, we also helped folks export their
contact lists, move e-mail (via IMAP) and setup new personal gmail accounts
if they needed help - this facilitated their move from our e-mail system as
well, which minimized their need for us to retain their account. Not sure
if we'll continue this practice, but it seemed to help some folks with the
transition - especially departing faculty that were also moving. Moving is
such a pain.
